Reservation conditions
1. Booking and Deposit
A booking is confirmed upon receipt of a deposit of $1500 AUD per person (unless otherwise specified) and acceptance of these Reservation Conditions.
50% of the deposit is refundable up to 100 days prior to departure. After this time, 100% of the deposit becomes non-refundable.
By making a booking, you acknowledge that you have read, understood, and agree to be bound by these terms.
2. Payment Terms
The balance of the tour price is due no later than 90 days prior to the tour departure date.
Failure to make payment by the due date may result in the booking being treated as cancelled by the guest, and cancellation fees will apply as outlined below.
3. Cancellation by Guest
All cancellations must be made in writing and are only effective once acknowledged by Bikestyle Tours.
Cancellation fees apply as follows:
- More than 90 days prior to departure: Loss of deposit
- 90 days or less prior to departure: 100% of the tour price is payable
4. Outstanding Payments Following Cancellation
If a booking is cancelled within 90 days of departure, the full tour price remains payable, whether or not the final balance has been paid at the time of cancellation.
Any unpaid amounts become immediately due and payable.
5. Cancellation Costs and Losses
Cancellation fees reflect the genuine costs incurred and commitments made by Bikestyle Tours, including but not limited to accommodation, transport, staffing, logistics, and supplier payments, many of which are non-refundable.
6. Amendments and Transfers
Requests to transfer to a replacement guest may be considered at the discretion of Bikestyle Tours and may incur additional costs. No transfer is guaranteed.
7. Travel Insurance (Mandatory)
Comprehensive travel insurance is mandatory for all guests and must include coverage for cancellation, medical expenses, and travel disruption.
Bikestyle Tours will not be liable for any losses arising from a guest’s failure to obtain appropriate insurance.
8. Failure to Pay
If final payment is not received by the due date, Bikestyle Tours reserves the right to treat the booking as cancelled by the guest, and cancellation fees will apply.
9. Debt Recovery
Bikestyle Tours reserves the right to recover any outstanding amounts as a debt, including through third-party debt collection agencies.
Any reasonable costs incurred in recovering the debt may be added to the amount owed where permitted by law.
10. Pricing and Changes
Prices are subject to change due to factors outside our control, including currency fluctuations, supplier costs, and operational requirements.
11. Liability
Bikestyle Tours are not liable for personal injury, death, damage to property or other loss whether arising from accident, cancellations, delays or any other matter beyond our control. Participants should insure against all such possibilities.
Bikestyle Tours acts as an organiser of tours and is not liable for acts or omissions of third-party suppliers.
12. Governing Law
These terms are governed by the laws of Queensland, Australia. Any disputes will be subject to the jurisdiction of Queensland courts and tribunals.
13. Chargebacks
Guests agree not to initiate chargebacks or payment disputes without first contacting Bikestyle Tours to seek resolution.
Any costs incurred by Bikestyle Tours in responding to unjustified chargebacks may be recovered where permitted by law.
14. Tour Participant
Bikestyle Tours reserve the right to decline, accept or retain any participant as a member of any tour party if his or her conduct is disruptive and affecting the enjoyment of other participants. Bikestyle Tours shall be under no liability for any extra cost incurred by such participant as a result of their doing.
It is also a condition that participants wear an approved bicycle helmet at all times while cycling.
15. Reservation condition updates
We may revise the Terms and Conditions from time to time by updating this posting. The revised terms will take effect when they are posted.
16. Acceptance of Terms
Payment of a deposit confirms acceptance of these Reservation Conditions.
